A Transcript and a Call Outcome Are Different Evidence

Shashank Agarwal

A transcript records what was recognized or said. It does not by itself establish whether the caller’s requested action happened, whether a transferred call reached the right destination or whether the application had permission to act.
Quick answer: Pair relevant conversation evidence with the task’s observable outcome. Preserve the distinction between a proposal, a spoken promise, an attempted operation and a confirmed state change. When action evidence is unavailable, narrow the conclusion rather than inferring completion from fluent dialogue.
Follow one promise to its evidence
In an illustrative repair-booking call, the agent says, “Your visit is now on Friday afternoon.” A transcript makes that statement reviewable. To establish completion, the test also needs appropriate booking evidence under the application’s defined contract.
If the request was rejected by the scheduling service, the spoken promise is a failure even when the conversation was polite and coherent. If the operation succeeded but the agent reported failure, that mismatch also matters.
Keep the layers separate
| Layer | What it can establish |
|---|---|
| Captured audio | What is available for listening review under the recording setup |
| Transcript | The recognized or recorded conversation text |
| Tool operation | The request and result exposed by instrumentation |
| Task state | The outcome the acceptance criterion requires |
| Review decision | Whether that evidence supports the defined result |
Audio and transcript quality can have their own errors. Do not assume that a missing word in a transcript proves the speaker never said it, or that a clearly written transcript guarantees an audible, well-timed experience.
Include a state mismatch in the test set
Use a synthetic fixture where a proposed appointment is unavailable and another where an attempted change fails. Confirm that the final explanation follows the evidence rather than the agent’s earlier plan.
If the workflow transfers the caller, define what counts as a successful handoff. Initiating a transfer and reaching the intended next stage may require different evidence.
Retain what the reviewer needs
Keep the task, relevant conversation segment, available action evidence and configuration version connected. Minimize sensitive content and respect the recording and retention requirements of the application.
